The Q8 Process

The Q8 process is our way of maintaining quality for the Palm Kernel Shells that we provide for our clients. Each step has its own protocols, to ensure the credibility of our products all the way to our clients.

Stage 1 : Quality Managers (QM)

KOG QM inspectors – Mill Scorecard Grading System

 

QM inspectors grades the mills according to A, B, C.

  • Random inspection for A-rating mills
  • Regular inspection for B-rating mills
  • Avoid purchase from C-rating mills

 

QM inspectors are assigned to visit the mills to conduct predelivery inspection of the PKS quality to ensure it meets our quality parameters.

QM have a scorecard rating checklist to grade the mills according to;

 

  • Grade A : 8 – 10 points
  • Grade B : 5 – 7 points
  • Grade C : < 5 points

 

Mill grading criteria includes;

  1. Overall handling process.
  2. Risks of contamination (housekeeping practice).
  3. CSR Efforts & Environmental Protection.

Stage 2 : Truck Drivers

Well-trained and experienced truck drivers are capable to
identify quality of PKS during the collection at the mills.

 

Required to notify QM on the cargo conditions immediately,
photos of the PKS will be sent for approval.

 

Authorized to reject the cargo if quality does not meet our
requirements.

Stage 3 : Stockyard Manager

    • The key-person to re-inspect all deliveries to the stockpile.
    • PKS is segregated into assigned zoned based on FIFO system to ensure efficient turnover.
    • All deliveries are identified and detailed traceability report are kept in records based on our ISO 9001 system.
    • Samples will be collected and retained 3 months for quality records purpose.

Stage 4 : PKS Screening Machine

    • KOG collaborated with an experienced engineering firm to design and fabricate a unique 50mt/hour screening machine capable of removing foreign materials from the PKS.
    • The dual-layer screening design with enhanced Permanent Magnet are capable to remove traces of metals, stones, nuts & bolts, and other foreign objects present in the PKS non-naturally.
    • 1st later contains 18 units x 2000 gauss magnets. Unique mesh design to enhanced magnetic efficiency and trapping large objects.
    • 2nd layer features class-leading 1inches x 1inches mesh screen built-on high speed synchronized vibration motor.

Stage 5 : HACCP Team

  • Our HACCP team comprises of our management personnel and stockyard staffs.
  • Our mission is continuous improvement of our handling method to ensure our customers satisfaction remains our top priority.
  • Regularly monitors the cargo conditions, including moisture & temperature analysis.
  • Assigned to conduct metal detection on sieved cargo.
  • Random sampling and HACCP analysis.
  • Experienced team in handling feed materials will utilized their expertise in handling PKS.

 

Stage 6 : Dual Weighing System

  • KOG installed a dedicated AVERY weighbridge system with remote
    monitoring for accurate weighing reports.
  • Our weighbridge are calibrated and certified on schedule.
  • All shipments will be weighed in our stockyard and re-weighed in the
    port weighbridge for accurate weighing benefitting the buyers.
  • KOG is the only PKS supplier in Kuantan using dual-weighing system.

Stage 7 : Licensed Fumigation Company

  • KOG only appoints professional licensed fumigation company to conduct the fumigation process to ensure maximum safety and effectiveness.
  • All fumigants use will be in compliance with Japan plant quarantine
    requirements. Generally we use Phosphine as the approved fumigants.
  • A Certificate of Fumigation will be provided to the buyer including the
    Phytosanitary Certificate issued by the government authority for custom
    clearance in Japan.

Stage 8 : Independent Surveyor

Kyoto Oils & Grains engages reputable independent surveyors (SGS, ITS, Intertek & etc) to conduct Independent Quality + Quantity surveys, all reports are submitted independently to the buyer for reference.
Qualified surveyors will be presence in the stockyard to do pre-shipment analysis, quantity surveying, and final shipment reports.

 

Conduct hatch & hold inspections to verifies that the ship’s hold is ready to receive your cargo. Our hold inspections consider a number of factors that may affect the quality of your cargo. Our capable and experienced inspectors:

    • Ensure that the hold is free of rust or paint chips that could contaminate or discolor your cargo
    • Provide assurance that the hold is free of previous cargo remnants.
    • Look for evidence of wooden partitions or dunnage that may react with cargo and ignite
    • Examine the ship’s log for evidence of previous cargo containing materials that may put your cargo at risk
    • Pay special attention to previous cargos including seed or grain that may lead to consequences due to quarantine requirements
    • Check for any signs of moisture or previous water damage in the hold.

 

Improper ship’s hatch cover seals and securing arrangements account for a high percentage of cargo defects and rejections. Hatch inspections provide evidence that the condition of the hatch covers does not pose a threat to the cargo.

    • Visually inspect hatch covers at departure and arrival for water tightness and proper operation
    • Look for obvious damage, holes and leak points that may jeopardize the quality of the cargo
    • Conduct Chalk, Hose and Ultrasonic Leak Detection (ULD) tests for objective assessment and verification
